Freelancer Project Planning Checklist
Plan the brief, scope, milestones, client communication, invoicing, and closeout on one practical checklist. Download it directly; no email is required.
A simple plan you can use before the work starts
The checklist is designed for a single freelance project. Use it at kickoff, keep it open during delivery, and review it before the final invoice.
Brief and kickoff
- Client, project, decision-maker, and main contact
- Problem, desired outcome, and success measure
- Constraints, assumptions, and client dependencies
Scope and approvals
- Deliverables, exclusions, and review rounds
- Price, deposit, payment schedule, and change process
- Written approval before work begins
Delivery and schedule
- Milestones, dates, and who owns each next step
- Communication rhythm and feedback deadlines
- Access, content, and approval dependencies
Invoice and closeout
- Final delivery check and handoff notes
- Invoice reference, amount, and payment terms
- Project review, files archive, and follow-up date
Keep the checklist close to the work
It is most useful when it becomes part of the project routine, not a document you fill in once and forget.
- Before the kickoff: fill in the brief, contacts, outcome, and known constraints.
- At scope approval: confirm deliverables, exclusions, price, and payment schedule.
- During delivery: update milestones, decisions, and client dependencies as they change.
- Before the final invoice: run the delivery, handoff, and closeout checks.
Adapt it to the project. A small retainer needs fewer fields than a multi-stage website build. Remove what does not help and add the one detail you keep forgetting.
